Management Function in Organization [Extension]

Management is an executive function of the administrator in an extension organization. The administrator carries out a series of management functions. The management functions are stated below (Gulick and Urwick, 1959):
 
1. Planning
At the planning stage the managers plans the outlining of the things to be done and the methods for doing them. During planning organizational objectives are determined and future courses of their accomplishment are selected. Planning includes the following aspects:
  • a.       Establishing organizational objectives.
  • b.      Developing premises about the environment in which they are to be accomplished.
  • c.       Selecting a course of action for accomplishing the objectives.
  • d.      Initiating activities necessary to translate plans into action, and
  • e.      Evaluating the outcome of that planning.
 
2. Organizing
The manager has to establish a formal structure of authority to carry out the defined activities. It is the process by which employees and their jobs are related to each other for accomplishing organizational objectives. It consists of dividing work among groups and individuals and coordinating individual and group activities.
 
3. Staffing
Staffing is the process of selecting, appointing, maintaining and developing personnel in position to fulfill the organizational objectives. It is mainly the personnel function of bringing in the training staff and maintaining favourable working conditions.
 
4. Directing
It concentrates in making decisions, issuing orders and instructions for guidance of the staff. The manager has the continuous tab, of decision making and embodying them in orders and instruction and as the leader.
 
 5. Coordinating
The manager needs to interrelate various parts of the work. He also eliminates the overlapping and conflict and among different personnel in the organization.
 
6. Reporting
The manager’s role is to keep both the, superiors and subordinates informed of what is going on at the organization. He also arranges, for the collection of such information through inspection, research and records.
 
7. Budgeting
One of the most important management functions on the part of manager is to have adequate budget to run the organization smoothly. This is especially concerned with the financial affairs of the organization.
 
The above mentioned management functions are most popularly known by the acronym “POSDCORB”, where,
P – stands tor “Planning”
0 – stands for “Organizing”
S – stands for “Staffing”
D – stands for “Directing”
CO – stands for “Coordinating”
R – stands for “Reporting”
B – stands for “Budgeting”
